The Service Lembas Offers

1. While we will do our very best to supply everything you order, Lembas cannot guarantee the availability of all items. Therefore, if you would like us to notify you in advance of out of stock items or suggest possible substitutes, please let us know when you place your order. Alternatively, before delivering it, Lembas is happy to hold your order until it is complete. Lembas is also happy to deliver any out of stock items from any previous order, as soon as they arrive in stock.
However, PLEASE NOTE that minimum order terms for free delivery will apply for each delivery.

2. Lembas will be as flexible as we can with regard to delivery times but we can not guarantee to be 100% accurate. When placing your order with us, please bear in mind that any given delivery time is only a guess, so we advise you to have a Plan B in place. We will make every effort to be as flexible as possible, so long as you are happy that your order will be safe & dry.

3. We will do our best to rectify any mistakes we might make as soon as possible. We are, however, unable to make any guarantees about repeat deliveries [see 1. above]. Where appropriate we will make an immediate refund. Alternatively, Lembas is happy to carry credits etc forward at your request.

PLEASE NOTE - The driver should check off your order with you, at the time of delivery. If, however, you weren't about and spot any errors or are unhappy with any aspect of the delivery, please notify us as soon as possible.

4. We are able to accept payment over the phone from those of you who prefer to pay by credit or debit card. Please note that we may insist on a minimum spend for customers using plastic [esp. for credit cards where we pay a fixed transaction charge], so please check at the time of ordering. We will not retain your card details.

Lembas reserves the right to impose an administrative charge for late payments made by this method.

Please note this line is an accounts line only and orders cannot be placed on this line.
In order to avoid a late payment charge of £10 per invoice please ensure that payments are made within a week of delivery. Late payments have been costing us in both time and money and chasing late payments clogs up the phone system. Your co-operation will save us all time and money.

We try to indicate [with the "smiley face" symbol] where products are suitable for Vegans. This information is, however, by no means comprehensive and relies heavily on Lembas checking individual products ourselves. If you know a product is Vegan but we do not have it flagged as such please let us know so that we can amend our records.


Chilled and Frozen Items

We stock an ever increasing range of chilled and frozen items.

The full range of chilled & frozen items available is huge. We've tried to include a wide selection of lines to give you an idea of the full scope of available products but, inevitably, many items do not appear either in the catalogue or even on our website. [The web site has the more comprehensive list]. A specialist chilled and frozen catalogue, from our main supplier, is available to trade customers on request. However, if in any doubt about the availability of a product, please feel free to ask.

We are happy to split almost all lines - chilled and frozen.

We do our best to ensure that you get items with as long a shelf-life as possible. If, however, you spot short-dated stock please bring it to our attention - we will do our best to refund or replace as quickly as possible.

In addition:

  • The Vegetarian Society now assures us that all Quorn products are suitable for a vegetarian diet.
  • We do not list Tivall or Morning Star frozen meat alternatives. Despite a number of requests neither would make any undertaking to use eggs sourced only from Free Range Farms. We are totally opposed to intensive farming practises.
  • We do not list Ben & Jerry's Ice Cream - they continue to use GM-derived animal feed [and very silly names for their range].
  • The Linda McCartney range of products is now, again, suitable for Vegans.

All customers please note : Dairy Cheese is often sold by the total combined weight per kilo.

 

Order Cut Off Times

Very short dated lines [fresh bread etc]

  • Orders to be placed by 10.00am Thursday morning the week before delivery.

General Ambient items.

  • Orders to be placed by 5.00pm Thursday afternoon of the week before delivery.
Additions to ambient lines
  • For items that are not status "Z" or "S" orders must be placed by 10.00am Friday morning the week before delivery.
  • For items that are status "Z" or "S" additions to an order can be placed up to lunchtime the day before your delivery is arranged.
Chilled and frozen items
  • For most lines, orders to be placed by 1.30pm Friday afternoon the week before you expect delivery.
Remember, as a general rule, the more notice you give us, the better the service we will be able to provide.

We will deliver within an 80[ish] mile radius of Sheffield for our standard terms of trade.
Outside this area, we are open to negotiation - please feel free to haggle.

PARENTS ARE ADVISED THAT, FOR INSURANCE REASONS, IT IS YOUR RESPONSIBILTY TO ENSURE THAT CHILDREN BEHAVE IN AN APPROPRIATE MANNER - NO RUNNING, CLIMBING ON RACKING etc. - WHILE AT LEMBAS.

 Please Note : While we are not normally able to deliver to customers outside this area we will consider any requests on a case by case basis.  If you are willing to arrange your own haulier we are happy to collate any order in advance.

We regret that we are unable to offer a mail order service to customers outside these areas. 

The following scale of minimum order value for free delivery applies. These are intended as a rough guide only so please ask for confirmation when you place your order.

Order value for deliveries well outside our normal delivery areas will be calculated on a mileage basis.
We will always confirm the order value we require when you place your order with us.

3. Delivery

This service is free provided our minimum order is met.
We reserve the right to make a small charge of 10% of the shortfall, or £5.00 (whichever is the greater) on orders that do not meet the minimum.
See above for deliveries out side our normal delivery areas.

Orders should be placed by 5.00pm Thursday to ensure delivery the following week.

4. Cash & Carry / Collection

N.B. Our insurance does not cover the presence of unsupervised children under the age of 14 in the warehouse.

Lembas is a wholesaler.  As such, you the customer, get goods from us at wholesale prices. 

In practise, this means that our prices are substantially less than those you would expect to pay in your local retail outlet.  In many cases, prices are even lower than your local supermarket.

Lembas is only able to offer a Cash & Carry service on the following terms;

  • All sales must go through an account.  To set up an account we will ask you for your name, address and a contact number.  We do not pass these details on to third parties and it is not our policy to send out unsolicited mail.
  • Lembas operates a "split case" policy.  On each visit, customers must purchase goods to the value of at least £25.00 in whole cases or original packaging before we will allow you to buy single items from open cases.
  • While we split as much of the range available as we can, there are some items that we only sell as whole cases.  Please do not take items from un-opened packs unless you have checked with a member of staff.  Lembas reserves the right to invoice you for the value of the whole case.
  • In the interests of fairness to all customers, Lembas operates a "first come, first served" policy.  Therefore, some items on general display may be already "booked" for another customer. 
  • Lembas is happy to order in for you items that we do not normally hold in stock.  Unless other arrangements have been agreed in advance, Lembas reserves the right to invoice you for the full value of any goods that remain uncollected after one week.  Further charges may apply as per our Terms of Trade.

Thanks to the gift of a free fridge from Provamel Alpro we are also able to offer a range of chilled goods to Cash & Carry customers.  While we make every effort to keep this fridge stocked at all times, if you do not see what you are after please ask a member of staff.  We may have further stocks in the main coldroom.

Please Note : Where Lembas deems a product to be splittable, the price of each split case item is "rounded up" to the nearest ten pence.

6. Payment

PAYMENT IS DUE ON RECEIPT OF GOODS - we do not normally extend credit.
A minimum interest charge of £10.00, or 1% of the value of the cheque [if greater] will be levied on dishonoured and represented cheques.
Unpaid invoices are also liable to a minimum interest charge of £10.00 or 1% charge per week (whichever is the greater) or part thereof on balances which remain outstanding.

7. Invoice Signing

Ideally all orders should be checked at the time of delivery or collection by the customer, or an agent of the customer, together with a member of Lembas staff. We may require a signature from the customer or the customer’s agent. [This signature acknowledges receipt of all priced items after any due amendments to the invoice have been made].

However, if you are unable to be on hand for delivery, please check your invoice carefully and notify us of any problems or queries as soon as possible,
Once delivery has been made and a signature given, we will not accept any liability for errors.

8. Credit Claims

If a claim is agreed, we will issue a credit note which will be available for deduction from your next payment. Claims must be made within three days of receipt verbally, and within seven days in writing.

We reserve the right to dismiss claims outside these criteria.
We reserve the right to dismiss credit claims made against damages to split cases.

9. Returns

We do not offer goods on a sale or return basis.
Returns can only be made with prior approval from us.
All claims must be made within three days of receipt verbally, and within seven days in writing. We reserve the right to dismiss claims outside these criteria.
Items must be returned in the condition they were received. We will not accept back goods in saleable condition that have already been priced for retail sale.

10. Uncollected Goods

We are happy to pre-order and pre-collate orders for C&C customers. However, an invoice for the full value of any goods uncollected after one calender month will be issued and the penalties outlined above will apply.
Cash & Carry Customers will be liable for the full cost of chilled items not collected before the best before date expires.
Lembas reserves the right to impose a charge on any pre-collated order not collected within 48 hours of the day arranged.

11. Price Lists

We will provide up to two price lists free of charge.
If further copies are required, they will be subject to a charge which is subject to confirmation at the time of asking.

12. Standing Orders

We regret that we cannot process Standing Orders for Cash & Carry Customers.

13. Fresh Bread & Chilled Items

We regret that fresh bread is not usually available to Cash and Carry customers.

We would like to remind all customers that prices in this catalogue are subject to change without prior notice. Lembas is unable to guarantee that any commodities we process are free from possible nut product contamination.
